Pull Luggage for Departing Guests a.k.a. Appointment Notes

Operating Procedure


 

This procedure is designed to ensure that all luggage and food from home is returned to the Guest's Pet Parents upon departure.

 

  1. Log into Gingr from a desktop computer.
  2. Navigate to "Reports" > "Check Outs"
  3. Set the date to tomorrow and set the class filter to select ONLY THE BOARDING OPTIONS.
  4. Click the top of the "Lodging" column header to quickly sort Guests by room number.
  5. Print the list.

 

Collect Items

Starting with the top of the list, working one pet at a time, check off each individual item they brought in as soon as you find it and it is in their bag.

  1. You may need to gather any luggage that is present in the pet's room. This includes toys, treats, blankets, EVERYTHING they brought in!
  2. Check to make sure any bedding or any belongings are not soiled or wet and that it does not smell foul or have excessive hair on it. Immediately inform the shift supervisor and take it to the laundry if it does. (Don't forget to log it on the guest laundry sheet!)
  3. Make sure to keep all items together for each guest, especially if they have multiple bags. 
  4. Once all items are collected and signed off on, sign your initials on the left of the pet's name. There should be nothing missing.
  5. Proceed to the kitchen hallway with the luggage.
  6. DO NOT PUT ANY PERISHABLE FOOD ITEMS IN HALLWAY!
  7. If any belongings, food, etc, is in the refridgerator or freezer, put a sticky note on their other bag in the hallway. Example "Murphy has bag of Freshpet in fridge". If they don't have another bag, attach the note to the luggage sheet that will be in the hallway. This will ensure reception will know to give all belongings back.
  8. ENSURE ALL ITEMS ARE FOUND, IF ANYTHING IS MISSING, TELL A MANAGER AND ENSURE IT IS FOUND BEFORE THE DAY ENDS! 
  9. Once all items are in the hallway, place the corresponding report cards in each bag. Carefully read and use caution! 
  10. Tape the signed off departure luggage sheet on the wall in the kitchen hall, where all the guest's belongings are.
  11. No toys, treats, or ANY other belongings should be in or near the departing pet's room at this point!
