Filing and Pulling Daycare Room Cards
Operating Procedure
We pride ourselves on efficient and easy daycare arrivals in the morning. This procedure will outline how to do a fantastic job filing and pulling daycare room cards.
Filing Daycare Cards
- When a daycare leaves, place the card near the daycare card bin or file it immediately.
- Filing daycare cards means putting them in the bin in perfect alphabetical order by LAST NAME.
- If you notice any duplicates, boarding cards, or dogs who have not been here in month's room cards, please remove them and discard them. We need to constantly maintain our beloved room card bin.
Pulling Daycare Room Cards for Tomorrow
- You must obtain a daycare list for tomorrow to identify what cards to pull.
- Navigate to 'Reports & More' > 'Reports' > 'Reservations By Day'.
- Select the tomorrow's date.
- In the 'Reservation Types' section, select only the daycare options.
- Press 'Generate Report'.
- "X" out of either the 'Check Ins' or 'Check Outs' section. Since daycares are for only one day, we must "X" out of one of them, otherwise the report will be duplicated.
- Then, press 'Print PDF' to print.
- You must pull all of the cards on this list. If any cards are not in the bin already, you must print a new one.
- Navigate to the pet's daycare reservation. At the top right of the screen, press the print button and press 'Print Run Card'.
- Note: Unlike boarding cards, daycare room cards DO NOT need a run card bottom.
- Mark up the run card - cross off room number if it has it, cross off reservation type and date, and write 'D/C' to show it is a daycare card. Then put the card in a plastic sleeve and file away.

- Pulling daycare room cards: putting the card "up" 90 degrees so it stands taller, making it easier to locate.
- ALL room cards need to be filed and pulled the night advance.

Run card bin maintenance
- Whenever possible, it is important to remove any duplicates, boarding cards, or dogs who have not been here for month's room cards. We should remove any we find and discard them. Whenever possible, look through the entire bin, A-Z, to find any cards that should not be there.
